Who is in Charge – You or Your E-mail?

Brief Overview: Regulating company e-mail and Internet usage isn’t a "big brother" tactic; these days, it’s just smart business. All companies rely on e-mail as a critical business tool. However, unfortunately few have considered the policies and systems necessary to safeguard their interests. Having a best practices policy for managing the flow of information, defining retention rules, training employees, and more should be part of the way “you do business”. This presentation goes through the things you should be thinking about as you put together your best practices policy for managing the flow of information.

Managing the Flow of Information

Brief Overview: Information is at the center of everything an organization does including (but not limited to):

  • Strategy Management
  • Research and Development
  • Compliance
  • Customer Relationship Management
  • Employee Information
  • Revenue/Profit Tracking and Reporting

Information is an asset and holds value for a corporation. How an organization manages this information can directly impact their ability to compete, comply with regulations, and even simply function on a daily basis. Do your employees know the important role that they play in protecting the future of your organization? Isn’t it time to establish policies and procedures for creating, using, retrieving, and disposing of company information?

Just Because You Can, Doesn’t Mean You Should

Brief Overview: With the vast array of technology available today, one would assume organizational skills would have increased dramatically. We should be the most organized society in the history of mankind as a result of our technological advancements and innovations. Unfortunately, the opposite has occurred. According to a McKinsey survey of more than 7,800 managers from around the world “…25% of executives at large companies say their communications – voice mail, e-mail, and meetings – are nearly or completely unmanageable”. Have your “timesaving devices” in fact become “time-stealing devices”?

Common Processes Common Goals

Brief Overview: Systems play a key role in the success of a business; we all use them. Whether it’s a common e-mail program or phone system, accounting program or billing system, everyone in your organization uses the same systems to perform each day. Imagine if they didn’t! Yet, in most organizations, there is not a common process for managing information, prioritizing workflow and “to-do” management. Then we wonder why things fall through the cracks and why we spend more time putting out fires than creating opportunities. Our stress levels seem to get higher each day. The disconnect lies in the lack of a common process for managing our workload. We’ll examine the impact and solutions relating to this disconnect how it affects your employees’ ability to get focused and become more productive.

Brief Overview: The key to being effective is how well you manage information. Do you have what you need…when you need it…so that you can produce the results you want? Now you can.

By attending Mise En Place’s Path to Productivity Workshop, certified GO System Trainer, Ann Michael will guide you as you create your path to productivity. You will walk away with a sustainable system and process to handle:

    • The flow of information – paper, voice mail, e-mail, etc.
    • Your priorities – identify your top ones every day and work them.
    • Time rationally – since managing it is impossible!
    • Project management issues – effective delegation and follow-up.
    • Personal attributes – how to use your strengths and those of your team to maximize the impact on the bottom line.
    • Hidden undertows - dealing with self-defeating and dysfunctional behavior that can undermine your efforts.

Additionally, Ann Michael Henry, the Workshop instructor and founder of Mise En Place, will introduce you to specific tools to help you effectively manage e-mail, paper and electronic data. By the end of the Workshop, you will know how to prioritize your work load in 60 seconds or less, accommodate unexpected events or opportunities in your day and effectively meet your goals.

"When we first started with using The Paper Tiger software, it showed quick results in helping us effectively manage our paper management issues. But, we knew we still had a piece missing that needed to be resolved. Now with the recent use of The GO System, we have a complete solution to overall paper and process organization. We like to think of The GO System as that "missing puzzle piece" we needed to round-out our organizational system. We couldn't be more pleased."

Managing E-mail so it Doesn’t Manage You!

Brief Overview: E-mail, if not managed properly, can become a significant drain on productivity. As users become distracted by messages piling up, they are more likely to lose track of important messages and fall further behind in their work. An inbox full of dozens or hundreds of messages renders the user increasingly ineffective in other areas of work which can result in them spending more time simply "putting out fires" caused by the bulging inbox. The more e-mail that piles up, the less useful it is to users and their companies. At this session, you will learn how to properly manage e-mail so that you can enjoy the benefits of this great tool. You will have the ability to control your “e-mail ecosystem” instead of allowing it to control you! This is one of Mise En Place’s most popular Workshops!

Brief Overview: Suffering from digital overload? You’re not alone! The flood of e-mails, the multiple to-do lists, the cluttered desk, and all of those documents – where are they? Oh, and let’s not forget the cell phone, the pager, the PDA, the blackberry, or any other mobile device we have in our possession. Information thunders at us with incredible speed and ease – just a few clicks and it crosses our threshold. We begin to ask questions like,

“What do I do with it?”
“Do I need it now?”
“Do I need it at all?”
“How should I store it?”
“How will I be able to find it when I need it?”
“Am I going crazy…enough already!”
